Emails & templates

Build reusable templates and one-off sends with a block editor, then send now or schedule to a list.

By the end you'll be able to
  • Build an email from blocks, or drop to raw HTML when you need to
  • Personalise with tokens that fill in per recipient
  • Send to a list on a schedule, and get it through approval
  • Read the performance of a send afterwards

  1. A template is meant to be reused — by sequences, workflows and campaigns. A one-off email is a single send to a list. The two tabs at the top of the Emails page keep them apart.

Good to know
  • Unsubscribed, bounced and complained contacts are skipped automatically, whatever list they are on.
  • An email over the approval threshold needs one sign-off before it sends. Anyone in the brand can give it, including the person who created the email.
  • The recipient count follows the list. A smart list that has grown or shrunk since you attached it is re-counted whenever the checklist is shown and again at the moment of sending — so a list that has grown past the approval threshold will ask for a sign-off, and a scheduled email waits for that sign-off rather than going out without it.
  • Editing the wording of an approved email withdraws the approval, and the checklist says that is what happened. Nobody gets to quietly change copy that has already been signed off.
  • Links in a send go out carrying campaign tracking, so a website visit that follows a click knows which email it came from. The rules live under Settings → Link tracking.
  • Scheduled means scheduled: the send happens at that time, in full, with no batching or warm-up spreading.
  • A planned date is not a scheduled date. It pencils a draft onto the calendar and never sends — only "Schedule for later" commits the send.
  • Sending needs a verified domain and a From address set up for the brand.
  • Send now starts the send and hands the page straight back — the email shows as Sending with a running count of how many have gone, and the page updates by itself until it finishes. Leaving the page does not stop it.
  • A send can only start once. If it is already sending — because someone clicked Send, or its schedule just fired — a second attempt is turned away instead of delivering to anyone twice.
  • If a send is interrupted — a recipient whose delivery failed and needs a retry, or a restart part-way through — it picks up from the people who have not had it yet. The running count holds still while it re-checks the list, then carries on.
  • An email address the mail provider can never deliver to, such as one with accented letters before the @, is skipped with the reason "Email address can’t be delivered to" rather than retried. Correct the address on the contact if you want them to get the next one.
  • A button only becomes a clickable link if its address starts with https:// (or http://). Anything else — a bare "example.com", or a pasted script — still shows the label but is not a link, so check the button in the preview if it stops working.
  • An attached file that has been deleted from the library, or whose file has gone missing from storage, stops the send and test send with a message naming the file — upload it again and re-attach it. If a file disappears while a send is already running, that email goes out without it and the rest of the send carries on.
  • One email can hold about 25 MB of content — the layout and the finished HTML are saved together. Nothing you build in the editor will come close, and an email that somehow goes over is turned away when you save it, with a message saying so, rather than failing without explanation.
